Importing and Formatting MS Word Documents

This lesson will explain how to use Duxbury 10.4 to import and format MS Word Documents. I am currently using MS Word for Windows 2000, and Duxbury for Windows 10.4.

The first step is to open Duxbury, and open the File menu to select Open...

Next select the MS Word document from My Documents, or wherever you have saved the file. When you select the document to open you will be presented with a Duxbury dialog which makes its best attempt to select the type of file you are trying to import into Duxbury. For my MS Word document, the dialog box selects: Standard Format, Microsoft Word 6 or later. I click on the Enter button, or press the Enter key for OK. (see image below)

Now I have a text document open in Duxbury. (see the image below)

I now want to format the document before translation into braille. First, I highlight or select the title of my new document. Then, I go to the Layout menu and select, Apply Style or you could press F8 for the same dialog box. I next use my down arrow to select h1 (Heading 1) for the title of my document and press the Enter key for OK. (see image below) You will notice the title visually moves to the center, top.

My document happens to have a sub-heading, so I highlight or select the sub-heading, press F8 or go the Layout menu and select, Apply Style. I then use my down arrow to select h2 for Heading 2. Then I press the Enter key for OK or click on the OK button. (see image below)

The rest of my document contains paragraphs, so I make no further changes. The default style choice of Duxbury is para or paragraphs. If it had been a list of items, I would once again go to the Layout menu and select, Apply Style or F8, and select list for a list, poem for a poem, etc.

Lastly, my student is using Braille Fundamentals from Texas School for the Blind and Visually Impaired. My student is currently on Cluster 15, so I want to format my document for Cluster 15, which Duxbury allows. Go to the Documents menu, select Translation Tables, then at the very bottom of the menu select, Select Contractions... (see image below)

A dialog box will open with the choices, use the down arrow to select, TSBVI Cluster 15, then press the Enter key or click the OK button. See the image below.

After you have formatted your text document to your satisfaction, go to the File menu and select Translate... or CTRL + T. You will then see you freshly translated, formatted, braille document. It is important to remember that Duxbury retains both the text and braille version of your document for purposes of saving. See the finished braille image below.

Conclusion

This lesson has demonstrated how to import (open) a MS Word document in Duxbury and format the document for braille translation. The Duxbury program can be used for everyday formatting, as shown; but also to format in textbook format.
